Accentuate Staffing has an immediate opportunity for a Service Dispatch/Customer Service Representative to join a growing HVAC company in Raleigh. This position is an integral first point of contact for the organization, serving as the liaison between their customers and internal team members.

Responsibilities:

  • Answer incoming phone calls and direct/assist callers accordingly in a positive welcoming manner.
  • Schedule service calls with our customers and technicians according to their priority and urgency.
  • Communicate with vendors to get updated pricing and lead times on parts to provide quotes to customers for approval.
  • Schedule approved repair quotes with customers and assign them to the appropriate technicians.
  • Work with all Leaders to schedule technicians appropriately for each Department and cross Department projects.
  • Work with Preventative Maintenance Leader to schedule PM jobs when they are due.
  • Create new customer profiles in Dispatch System (Field Edge)  and update as contacts change.
  • Assist with the procurement, delivery and return of parts and materials.
  • Communicate with vendors in filing for warranty claims to return equipment and receive credit.
  • Work with Warehouse team to ensure materials are logged/handled correctly for consignment items, warranty items and return items.
  • Monitor office supply inventory and order when needed.
  • Assists with Time and Attendance and Time and Labor reporting as needed.
  • Assists with / attends training and meetings as needed.
  • Invoicing for the Service Department as needed.
  • Reinforce all policies, procedures, standards, specifications, guidelines, training programs, and cultural values.
  • Establish effective working relationships with customers, vendors, and internal team members.
  • Maintain a safe, secure, and healthy work environment by following standards and procedures, complying with OSHA regulations.
  • Other duties as assigned.

Requirements:

  • Excellent verbal/written communication skills
  • Proficient in Microsoft Office, experience in Field Edge Dispatch software a plus
  • Ability to multi-task, detail oriented and have an outgoing/positive attitude
