Accentuate Staffing is seeking a highly organized and detail-oriented Purchasing Specialist with 3-5 years of experience to join our commercial construction company. The Purchasing Specialist will play a crucial role in the procurement process, assisting with change orders, vendor management, invoice preparation, purchase order creation, and product ordering for job sites. The ideal candidate will have a solid understanding of construction purchasing practices, exceptional communication skills, and the ability to multitask effectively in a fast-paced environment. A bachelor’s degree in a related field is preferred.

Responsibilities:

  • Collaborate with project managers and contractors to process change orders efficiently.
  • Review change order requests for accuracy, completeness, and compliance with company policies and procedures.
  • Prepare necessary documentation and update records accordingly.
  • Assist in setting up new vendors, conducting vendor evaluations, and maintaining vendor relationships.
  • Conduct research to identify potential vendors, obtain quotes, and negotiate favorable terms.
  • Regularly review vendor performance, resolve any issues, and ensure timely delivery of goods and services.
  • Prepare and review invoices accurately and in a timely manner.
  • Validate invoices against purchase orders, contracts, and project specifications.
  • Liaise with the accounting department to resolve any billing discrepancies or issues.
  • Create purchase orders based on project requirements, specifications, and budgetary constraints.
  • Ensure purchase orders are accurate, complete, and comply with company policies and procedures.
  • Coordinate with project managers and vendors to confirm order details, delivery schedules, and pricing.
  • Collaborate with project managers to identify and procure materials, equipment, and supplies for job sites.
  • Research and source new products, materials, and suppliers to optimize cost-effectiveness and quality.
  • Coordinate timely delivery of ordered products to job sites and maintain accurate inventory records.

Requirements:

  • Bachelor’s degree in business administration, supply chain management, or a related field is preferred.
  • Proven experience as a Purchasing Specialist or in a similar procurement role within the commercial construction industry.
  • Strong understanding of construction purchasing practices, including change order management and vendor evaluation.
  • Proficient in using purchasing software and other relevant tools for creating purchase orders, managing invoices, and tracking vendor performance.
  • Excellent organizational skills with the ability to manage multiple tasks simultaneously and meet deadlines.
  • Strong attention to detail and accuracy in all aspects of procurement processes.
  • Effective communication skills to interact with internal stakeholders, vendors, and contractors.
  • Problem-solving and negotiation abilities to resolve vendor issues and secure favorable terms.
  • Proficiency in Microsoft Office Suite, particularly Excel, for data analysis and reporting
