Accentuate Staffing is seeking an Office Coordinator for an engineering firm in Raleigh. The Office Coordinator will support various administrative functions, including office management, clerical support, event coordination, accounting assistance, and project support.

Responsibilities:

  • Manage day-to-day office operations, including answering phones, receiving visitors, handling mail, managing supplies, coordinating conference rooms, and overseeing vehicle registration and maintenance.
  • Ensure timely resolution of housekeeping and building maintenance issues.
  • Provide clerical assistance to all office staff and possibly other offices within the firm.
  • Register employees for conferences and seminars and make necessary travel arrangements.
  • Assist with accounting duties, including entering various logs and coding accounts payable and Visa invoices.
  • Assist Project Managers in setting up projects from contract documents.
  • Aid in the preparation of proposal letters, professional services agreements, and bidding documents.
  • Coordinate meetings, maintain project filing systems, and prepare reports as required.

Requirements:

  • Bachelor’s degree and three years of administrative experience managing an office preferred.
  • Experience working with an engineering firm is required.
  • Experience with Deltek ERP software is required.
  • Knowledge of basic accounting principles required.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Effective verbal and written communication skills.
  • Experience reading and interpreting contracts is a plus.
