Accentuate Staffing is currently recruiting for an Office Coordinator to join a well-established Commercial HVAC company in Raleigh. The Office Coordinator provides administrative support and customer service under the direction of the HR Manager. The Office Coordinator maintains the daily office operations and acts as a first point of contact for the office; answers phones, greets guests, orders materials, distributes mail, coordinates meetings and events, and organizes documents.
Responsibilities:
- Greet all customers, vendors, employees, and other guests as they enter the building.
- Answer incoming phone calls and route calls accordingly.
- Manage the breakroom vendors including beverage and ensuring that these items are put away and stocked as appropriate.
- Managing of all office repair services, janitorial services, recycling services, and office supplies.
- Manage document shredding and pickup services through Iron Mountain.
- Oversee any office machine maintenance/repair/postage replenishment, etc.
- Provide office support in terms of as needed data entry, proposal support, copying, etc.
- Provide support as needed for ordering and setup/clean-up for company meetings/lunches.
- Receive and distribute incoming mail and packages.
- Manage Conference Room schedules
- Other project related support to President, VP, HR, Safety, and Facilities as requested
- Plan events such as Field Appreciation Day and other company events.
Requirements:
- Must be self-motivated and have a strong attention to detail.
- Must have a positive and upbeat personality.
- Must have a pleasant interpersonal style – internal and external customers
- Must be reliable and dependable.
- Strong work ethic
- Must have excellent communication skills
- Must have a minimum of three years of similar office administrator experience.
- Must be a notary public or willingness to obtain.
