Accentuate Staffing is currently recruiting for a Hybrid Executive Assistant to join an established association in the RDU area.  The Executive Assistant will execute administrative policies, keeps official organizational records, schedules appointments, and provides information to members and staff associates.  The position reports directly to the Chief Executive Officer – and provides periodic support to the Chief Operating Officer and Director of Advocacy.

Responsibilities:

  • Schedules appointments, provides information to members and staff associates; arranges meetings, travel schedules, and reservations for Executive staff; composes, types, and proofs correspondence, routes incoming/outgoing mail for Executive staff, files and performs other duties to relieve Executive staff of administrative detail.
  • Given CEO’s travel schedule is proactive in handling CEO’s calendar, member communications, emails, and phone calls while CEO is away.
  • Serves as administrative liaison on behalf of the CEO where appropriate.
  • Performs basic function in member database including maintenance of rosters for Board of Directors and staff.
  • Compiles and drafts the Executive Department’s weekly content for Chronicles to be emailed to entire team.
  • Assists CEO with annual preparation of Executive Department budget, including budget for Board of Directors meetings.
  • Maintains “Leadership Grid” listing and procures permanent name badges and service awards for volunteer leaders.
  • Performs basic functions in the Association’s membership databases, NetForum and Neon.
  • Telephone backup for Receptionist.
  • Backup for Operations Coordinator for mail pick-up and drop-off, processing USPS mail, and UPS shipments.
  • Assists the CEO as custodian of corporate documents and records.
  • Performs any/all duties as assigned by the CEO and COO.
  • Provides support for other areas of the office as needs arise.

Requirements:

  • Advanced knowledge of Microsoft Office, proficient in Microsoft Word, Excel, Outlook, PowerPoint, Zoom, Doodle Poll, WordPress, and Survey Monkey.
  • Bachelor’s degree, Associate’s degree (AAS) or equivalent from two-year college.
  • Minimum of five (5) years of professional work experience as an Executive Assistant or related area required.
  • Knowledge and experience in a professional association environment preferred.
  • At least 2 years of experience supporting a Board of Directors
