Accentuate Staffing is currently recruiting an Executive Coordinator to provide critical administrative support to the Chief Medical Director and staff. This role involves collaborating with the CMO to manage various administrative tasks, facilitating communication, and ensuring the efficient operation of the department. This is a hybrid role located in Raleigh

Responsibilities:

  • Provide administrative support to the Director and staff as directed in tasks related to departmental administrative responsibilities including scheduling, reports, letters, and email responses to external and internal stakeholders.
  • Review, track, and submit contractor’s timesheet to AP Department.
  • Works in conjunction with staff in support of special projects.
  • Conduct research, compile data, and organize information to support decision-making processes within the department.
  • Assist in organizing department meetings, including agenda preparation and distribution of materials.
  • Attend meetings, take minutes, and follow up on action items as required.
  • Prepare and submit expense reports for staff.
  • Support staff with preparation for presentations to internal and external sources in collaboration with the Communications Department.
  • Support with travel arrangements when necessary.
  • Supports the Department’s training program and identifies training needs of assigned personnel including on-boarding of new employees.
  • Maintains strict confidentiality of all information.
  • Plans and coordinates special events (staff/department lunch, team building event)
  • Maintain a schedule of departmental meetings including team-building activities, and meetings for assigned Board committees and workgroups.
  • Assist with new Board members’ communications under the direction of the Director and Communications department.
  • Assist with Board Interviews including technical assistance with attorneys, and Board Member’s.

Requirements:

  • Proficient with Microsoft office software, Excel; working knowledge of database systems.
  • Detailed oriented with excellent organizational skills.
  • Excellent data entry skills and accuracy
  • Excellent multi-tasking skills and ability to oversee multiple assignments.
  • Excellent customer service skills.
  • Effective interpersonal and communication skills and the ability to interface with personnel at all levels with a professional demeanor.
  • Excellent technology skills.
  • Outstanding time-management skills and require minimum oversight.
  • Use discretion and judgement to plan and accomplish work.
  • 4-year college degree
  • Minimum of 3-5 years in a clinical setting preferred.
  • Minimum of 5-10 years in a medical regulatory agency preferred.
  • Knowledge of medical records and terminology preferred.
