Accentuate Staffing is seeking an experienced Executive Assistant to support a pharmaceutical manufacturing site in Raleigh, NC. This role provides high-level administrative and operational support to the Site Director, Human Resources, and plant operations, while handling confidential and sensitive information with discretion.

 

Responsibilities:

  • Coordinate domestic and international travel for plant employees and candidates, including booking, itinerary management, and expense reimbursement in accordance with corporate policies.
  • Manage the Site Director’s calendar, meetings, and daily schedule, including teleconferences, site visits, and preparation of agendas and materials.
  • Prepare reports, presentations, and documentation to support site operations and leadership initiatives.
  • Serve as the primary point of contact for visitors and callers, ensuring a professional and welcoming front-office experience.
  • Oversee lobby operations, including visitor access, security protocols, and maintaining a clean, organized reception area.
  • Support purchasing activities such as ordering office supplies and coordinating meals for leadership, staff, and visitors.
  • Assist with reporting, tracking, and administrative support for site projects and operational initiatives.
  • Partner with Human Resources to support recruitment, onboarding, employee engagement, and recognition programs.
  • Coordinate employee wellness, morale, and site culture initiatives.
  • Provide administrative support to plant operations, including internal communications (newsletters, site updates), meeting and event coordination, and conference room management.
  • Manage shipping and distribution activities, including FedEx and internal mail services.

Requirements:

  • Bachelor’s degree in Business Administration or related field (or equivalent experience).
  • 7–10 years of executive-level administrative support experience, preferably in a manufacturing or pharmaceutical environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, communication, and problem-solving skills with high attention to detail.
  • Ability to manage multiple priorities, maintain confidentiality, and exercise sound judgment.
  • Experience with travel coordination and executive scheduling required.
  • Familiarity with pharmaceutical industry terminology is a plus.
