Accentuate Staffing has a direct hire opportunity for a Construction Billing Administrator to work with project managers to track job costs and generate client billing. The primary responsibility will be to manage contract documents, maintain COI’s, process project specific billing/invoicing, reporting and processing project closeout documents. The ideal candidate will have strong analytical skills, advanced Excel and construction related accounting experience. Knowledge of AIA billing, job costing, T&M billing, and lien waivers is required.
Responsibilities:
- Set up new projects: use ViewPoint system to establish project set up including but not limited to Client Schedule of Values, Client Change Orders, Budgets and Projections.
- Process all 3rd Tier Subcontracts: Ensure project file integrity (confirm that all project documents have been collected i.e W9s, insurance certificates (request updates), subcontract signed and fully executed as applicable), project specs, safety plans.
- Prepare, distribute and maintain contract documents
- Effectively communicate with Project Mangers (PM), regarding contract documents, change orders and other contract modifications, approvals, and any additional service-related to billing.
- Follow-up with PM to ensure information is returned in a timely manner.
- Ensure timely billing to clients, lump sum and/or T&M, including all applicable contract documents including but not limited to sales tax
- Review and process job specific Accounts Payable invoices
Requirements:
- Associate or Bachelor’s Degree in Accounting or related field, plus 3 or more years of general accounting or Accounts Payable experience.
- Construction accounting with AIA understanding and manufactures exemptions a plus.
- High degree of accuracy, attention to detail and confidentiality.
- Understanding of T&M billings.
- Viewpoint Vista ERP experience a plus
- Intermediate to Advance Microsoft Excel skills required. Excellent analytical, problem solving skills.
