Accentuate Staffing is seeking an Administrative Specialist – Sustainable Energy for one on our clients in Raleigh , NC. The Administrative Specialist plays a critical role in providing administrative support to the organizations operations and teams. This may include, but is not limited to, meeting coordination, greeting and assisting visitors, office supplies inventory and ordering, mail distribution, assisting with events and staff social activities, supporting sales/marketing and membership efforts, internal and external correspondence, and special projects. Responsibilities:
- Greet visitors and assist them with navigating the office.
- Field phone and email inquiries and route to the appropriate parties.
- Assist the Executive Director and other members of the leadership team with scheduling meetings, coordinating travel logistics, responding to inquiries/requests, and special projects as assigned.
- Track and order kitchen and office supplies to ensure the office is well-stocked and organized at all times, adhering to budgetary parameters.
- Coordinate and participate in meetings as assigned; may include scheduling, catering, preparing meeting materials, recording meeting minutes, providing technical support, and handling assigned action items as needed.
- Serve as back-up to the Administrative and Technical Specialist for basic IT needs and troubleshooting of phones, copiers, printers, computers, televisions, monitors, and other office equipment.
- Process work orders with the property management company when maintenance issues arise.
- Assist with events as requested; may include registration, preparing materials, and working at events.
- Provide support to the Development and Membership team; take notes, maintain member data, manage the Membership Inbox, assist with membership reports and member invoicing, and other duties as assigned.
- Provide general administrative support to all staff members as requested; may include scheduling of meetings, note-taking at meetings, copying/faxing/scanning/filing, meeting materials preparation, data entry, and special projects.
- Other duties as assigned.
Requirements:
- AS or BS degree in Business Administration or similar field
- 2+ years of relevant business experience; additional experience may be considered in lieu of degree
- Strong proficiency in utilizing and troubleshooting a variety of software applications and databases
- Intermediate to Advanced proficiency with MS Office
- Strong general administrative skills (copying, filing, calendaring, written correspondence, reception, meetings and events)
- Experience handling confidential and sensitive information with discretion; credible and trustworthy
- Able to think critically and strategically, always balancing the day-to-day needs with the big picture
- High Emotional Intelligence (EQ); polished communicator and collaborator that can anticipate needs, resolve conflicts, work with a wide range of personalities and strive for win-wins in each situation
- Customer-focused; able to respond quickly and respectfully to internal customers
- Exceptional time management, prioritization, and multi-tasking ability
- Excellent written and verbal communication.
- Highly resourceful and skilled at solving problems with a positive, creative approach
- Flexible and comfortable working under pressure in a fast-paced environment, and in a wide range of activities
- Experience working in a non-profit environment is preferred; an understanding of clean energy industry is a plus
