Accentuate Staffing is currently recruiting for an Executive Assistant to join a medical device manufacturer in the RTP area. This position will support a Senior Level Executive.
Responsibilities:
• Provides administrative support to the C-level Executive and others as necessary
• Provides back up and works collaboratively with other administrative personnel
• Collects and prepares information for use in discussions/meetings of executive staff and external contacts
• Prepares presentation materials for Board of Directors meetings, investor meetings and other meetings, as necessary
• Performs special projects, as needed
• Prepares correspondence, proofreads and assembles documents for Board packages and business plans
• Maintains confidential information
• Prepares outgoing mail and overnight shipments
• Coordinates conference room scheduling, maintains conference rooms insuring neat and orderly appearance and functionality
• Arranges domestic and international travel, lodging and meeting rooms. Organizes meetings and catering, as needed.
• Coordinates conferences, investor meetings and scientific meetings nationally and internationally, as directed
• Schedules teleconferences, online meetings and video conferences, as required
• Makes high level contacts, of a sensitive nature, inside and outside the company
• Assists with Press Release development, publishing and distribution to corporate contact listing
• Assists with satellite office and travel expense reports
• Performs internet research, as required
• Provides administrative support during periods of high volume workload
Requirements:
• AA degree preferred and 8+ years related experience in office management and support of senior executives
• Previous experience with facilities and IT support a plus
Other Skills and Abilities
• Excellent computer skills including all MS Office applications (Word, Excel, Outlook, PowerPoint)
• Must have strong organizational and planning skills, perform work on time, with accuracy and attention to detail, demonstrated ability to prioritize, multi-task and work independently
