Accentuate Staffing is recruiting for a Senior Administrative Assistant to join the Research & Development team to support all administrative needs of the Vice President of the department, and the Senior R&D Managers. He/she facilitates communication and reporting between VP and the satellite R&D offices and Design Centers, located globally. Additional to traditional administrative duties, this position also supports engineering project management administration, with support over such things as coordination of confidentiality agreements, service contracts with outside vendors, supplies, as well as other logistics administrative support for the R&D team. Key project responsibilities include collection of Project status, and key performance indicators in a standard and consistent format, for consolidation and reporting to the Executive Management. Scheduling of the monthly performance reviews for active projects under anesthesia business unit, and ensuring that WPRS will remain up to date monthly.

Responsibilities:

• Maintain calendars and coordinate meetings, webinars, and conference calls. Prepare agendas, publish minutes, and prioritize schedules as necessary.
• Develop and process presentations, letters, documents, spreadsheets, charts, and reports using Microsoft Office software.
• Prepare, process, and complete expense reports for assigned staff through the expense reporting system.
• Arrange domestic and international business travel , including necessary reservations. Schedule and make arrangements for meetings, in-house and offsite.
• Maintain existing and create new files, contact lists, itineraries, and mailings as needed.
• Monitor deadlines and track progress toward task completion, communicating with management as appropriate.
• Maintenance of project schedules, with some level of proficiency in Microsoft Schedule as needed.
• Coordinate and Maintain NDA Agreements and Patent Files.
• Coordinate and maintain service contracts between Teleflex and outside physicians, hospitals or other professionals.
• Read, understand, and apply standards, policies and procedures.
• Maintain accurate records; prepares reports and correspondence.

Requirements:

• A bachelor’s degree or equivalent combination of education and experience with 5-7 years of administrative experience, with 3-5 years to have supported senior-level managers. Prior work in an engineering or high technology support role is preferred. Equivalent transferable skills considered.
• High school diploma.
• Advanced MS Office Skills are required
