HRIS Document Conversion Specialist

HRIS Document Conversion Specialist

Accentuate Staffing has an immediate need for an HRIS Document Conversion Specialist. This position is fully remote but you must live in North Carolina. The role will be 6 weeks in duration, and the hours are 8-5 Mon-Fri.

The HRIS Document Conversion Specialist will provide migration support for a large-scale employee records conversion project from ADP to Workday.

The primary focus of this role will be downloading employee documents from an existing HRIS, accurately renaming and standardizing files, and organizing them according to established employee and document categories.

Because these files contain confidential employee information, accuracy, discretion, consistency, and the ability to follow detailed procedures are essential.

Responsibilities:

  • Download employee documents, including PDF, Word, and other electronic file types, from the current HRIS.
  • Rename files according to established naming conventions and document standards.
  • Organize documents into the appropriate employee folders and document categories.
  • Review employee records to ensure documents are associated with the correct employee and category.
  • Perform quality-control checks to identify missing, incorrectly named, duplicated, or misfiled documents.
  • Maintain accuracy and consistency while processing a high volume of electronic records.
  • Follow established procedures for handling confidential employee and HR information.
  • Track progress and complete assigned document batches within established timelines.
  • Communicate questions, discrepancies, or potential data issues to the project team.
  • Work independently in a fully remote environment while meeting productivity and quality expectations.

Requirements:

  • Strong attention to detail and commitment to accuracy.
  • Excellent organizational and file-management skills.
  • Proficiency with Microsoft Office, particularly Outlook, Word, and Excel.
  • Comfortable working with large volumes of electronic files and repetitive, detail-intensive tasks.
  • Ability to follow specific file-naming conventions and documented procedures consistently.
  • Ability to handle confidential employee information with a high level of discretion.
  • Strong time-management skills and ability to work independently in a remote environment.
  • Reliable availability to work 8:00 AM–5:00 PM, Monday through Friday for the duration of the project.

Preferred Experience

  • Previous experience with HRIS systems, electronic employee records, or HR document management.
  • Experience supporting data conversion, data migration, system implementation, or records-management projects.
  • Workday experience is helpful but not required.
  • Previous Human Resources, HR operations, personnel records, document imaging, data entry, or administrative experience is a plus.
