Legal Records Management Assistant

Accentuate Staffing is seeking a Legal Records Management Assistant to join a law firm in Raleigh. This role supports the Mass Torts Case Management team by providing essential administrative and case support to ensure accurate case information, timely communication, and high levels of client satisfaction. The ideal candidate is detail-oriented, highly organized, and comfortable working both independently and collaboratively in a fast-paced environment. This is a temporary assignment.

 

Responsibilities:

  • Manage the progression of mass tort caseloads by maintaining accurate, up-to-date client files, progress notes, and supporting documentation.
  • Open and manage cases within the firm’s Case Management System (CMS), ensuring timely updates and data accuracy.
  • Review and evaluate new case files, including analyzing medical records and exposure documentation for relevance and completeness.
  • Investigate and substantiate claims by verifying supporting documentation and confirming exposure to the mass tort mechanism of injury.
  • Request and follow up on medical records, medical bills, exposure records, and employment or government documentation (including NARA requests).
  • Identify gaps or discrepancies in client records and take appropriate steps to resolve them.
  • Ensure all correspondence and documentation are properly filed and organized within client records.
  • Communicate professionally with clients, medical providers, government agencies, and third parties to obtain required information.
  • Perform accurate and timely data entry and case updates within the CMS.

 

Requirements:

  • Minimum of 2 years of legal administrative or case management experience, preferably in personal injury and/or mass tort litigation.
  • Associate’s degree required, or an equivalent combination of education and relevant experience.
  • Strong verbal and written communication skills with a client-focused approach.
  • Exceptional organizational skills and meticulous attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • High level of professionalism, discretion, and ability to handle confidential information.
  • Strong analytical and problem-solving skills with experience supporting complex cases.
  • Prior experience using case management software required; familiarity with GrowPath and/or FileVine is a plus (firm is transitioning systems).
