Accentuate Staffing is recruiting for an Administrative Assistant position for a well-established construction company. This direct hiring opportunity will provide administrative assistance for special programs with split duties between Employee Development and Division Safety. This role is Monday – Friday, 8:00am – 5:00pm working in office in the Apex branch.

Responsibilities:

  • Assist the Talent Planning & Development Manager with special programs and processes:
    • Career Fairs – Initial and follow-up actions.
    • Cooperative Education Students – Management and follow-up of interviewing, hiring and onboarding/outboarding actions.
    • Training – Logistical support for corporate.
    • Performance reviews – Manage and coordinate with supervisors for completion of reviews.
    • Recruiting – Assist with local jobsite recruiting by utilizing databases, reaching out to city/county employment offices, complete phone screens as needed to include video screening, etc.
  • Assist Division Safety Director with special programs and processes:
    • Maintain safety-related files that can include weekly safety meetings, safety committee meeting minutes, and subcontractor safety deliverables, etc.
    • Maintain excel spreadsheets for management/supervisor involvement and leading indicator tracking (in coordination with submitted files and SOS entries).
    • Review SOS incident entries to ensure all trend data (e.g. injury type, body part) is accurately populated.
    • Maintain inventory of safety meeting/inspection books, banners, hard hat stickers, drug test kits, etc.
    • Order safety related equipment and signage and process purchase orders.
    • Assist with creation of safety related binders and signage as requested.
    • Assist with Supervisor Safety Bonus review process.
    • Assist with office safety-related items and training events.
    • Interact with division safety coordinators, corporate risk management, corporate training, and drug testing. Act as central point of contact (in supplement to jobsite admins).

Requirements:

  • Must be proficient in Microsoft Office:
    • Able to create, edit, and merge documents in MS Word.
    • Able to create, edit and maintain spreadsheets in MS Excel.
    • Able to use the calendar, contacts, and email in MS Outlook.
  • Understand databases, such as SOS, Coins, and Procore (preferred, but will train).
  • Attention to detail, excellent organizational and follow up skills are a must.
  • Be able to organize and maintain records according to company policy.
  • Be able to write creatively and edit documents.
  • Must be able to communicate in English (bi-lingual in Spanish is a plus).
  • Must be a self-starter and able to work unsupervised for extended periods of time.
