Accentuate Staffing is recruiting for an Executive Assistant to join a leading company in Raleigh.  This is a hybrid position with some work in the office and some from home.  The Executive Assistant must be exceedingly well organized, detail oriented but flexible, and enjoy the challenges of working with a variety of situations and circumstances. The ability to interact with internal and external stakeholders at all levels while remaining professional.

Responsibilities:

  • Serves as a point of contact for department meeting and greeting guests, answering phones and emails, and responds to questions.
  • Maintains executives online calendar in Microsoft Outlook; prioritizes requests by managing the scheduling of meetings and appointments, coordinates activities and agendas, etc.
  • Establishes systems to ensure the executive is provided with the necessary background information and briefing materials for meetings, events, and speaking engagements; researches, organizes, prepares, and presents information in a clear and concise manner.
  • Prepares purchase orders and processes invoices for goods and services for approval and reconciles expenses.
  • Makes and manages all travel arrangements for executive, including airline and hotel reservations, conferences and meeting registrations, transportation, etc.
  • Reviews, edits, and proofreads various documents.
  • Maintains files for all meeting minutes, charters and objectives, confidentiality statements, bylaws, and other Board and Board Committee materials.

Requirements:

  • Strong organizational skills and the ability to multi-task and meet deadlines.
  • Initiative, problem-solving skills, attention to detail, positive attitude
  • Ability and willingness to work an extended work day, as needed.
  • Expert knowledge of all MS Office applications.
  • Excellent written and verbal communication skills.
  • Bachelor’s degree and five years of administrative support experience or any appropriate combination of education and experience.
